Welcome to the Exhibitor Manual of Madrid 2025!

On October 15th and 16th, Empack Madrid 2025 will take place.

Through the main links below, it is possible to find all the necessary information for the exhibition of products, special needs of exhibitors and stands, as well as all the dates to take into account for the event.

The technical plan will arrive by email with the details of the stand and its location within the hall.

It is important to check the measurements and the allocation on the document so you can assess:

  • What elements to exhibit, their location on your stand and the servicse needed for them to function properly.
  • The decoration and furniture necessary to comply with what you want for your stand.

Rememeber that there are different types of participation (SPACE ONLY, ALL IN and ALL IN PLUS), each with different allocations and documentation needs. More information about modular stands is available on the button below.

Please, read the participation regulations to make sure that your decoration and planning comply with them.

Check the schedule with the relevant dates so you will not miss any deadlines for ordering or sending documentation.

  • Online Shop for aditional items. Price periods:
    • EARLY BIRD: from April 11th to May 5th.
    • REGULAR: from May 6th to September 1st.
    • LATE: from September 2nd to September 22nd. Closure of the Online Shop. From September 23rd orders will be accepted by e-mail depending on availability.

  • Documentation to be sent before September 23rd to operaciones@easyfairs.com:
    • Space Only:
      • Plan and measurements in floor and elevations.
      • Technical plan with the location of conections and aaditional services, if any.
      • Contact information with Representatives of the suppliers the Exhibitor needs for construction of the stand.

REMEMBER: The electrical box between the hall connection and the stand connection must be ordered with the organization.

    • Modular Stand:
      • Name of the stand signage (20 characters limit) or vectorised logo if the personalization service has been ordered. No changes will be done after the deadline. If no name has been provided, The name on your MyEasyfairs will be the one used.
      • Technical plan: only if fixed installation services has been ordered such as sockets, air, water or storage room).
      • Additional Services information: carpet colour, graphics, etc.

REMEMBER: In accordance with the coditions accepted with your booking, the modular stand provided to the exhibitor may not be modified or structurally altered without the Organization express consent.

  • Dates and Times of Assembly and Celebration for the Exhibitor:
    • Space Only Assembly: October 10th from 15:00 to 20:00 until October 14th from 9:00 to 20.00.
    • Modular Stand Assembly: October 13th from 15:00 to 20:00 until October 14th from 09:00 to 20:00.
    • Celebration: October 15th & 16th, from 09:00 to 18:30.
    • Dismantling:
      • October 16th: Simultaneous with the organisation: From 19:30 to 22:00.
      • October 17th: From 09:00 to 15:00.

  • Visitor Access Dates and Times:
    • October 15th & 16th: From 09:00 to 18:00.

Additional electrical services, furniture, storage room, etc.

In the online shop of your MyEasyfairs private area you can find all the elements of our additional catalogue.

There is no exclusivity regarding the graphics service in modular stands. However, in the case of hiring an external service, in accordance with the regulations, the exhibitor is responsible for the installation and removal of elements within the established dismantling period, making sure not to cause damage or leave residues on the structures.

You can find the contact details of external suppliers for some of the services we do not provide (such as logistics or catering) on the corresponding button.

It is not necessary to register for assembly or disassembly.

Instructions to register your staff:

  1. Access to your MyEasyfairs private area.
  2. Click on SET UP YOUR STAND and SET UP STAFF IN VISIT CONNECT
  3. Click on TEAM in the application and add staff .
